Product Bulletin 134 - Edsby End of School Year 2024

The North American school year is coming to a close, and that often leads to questions about what this means within your Edsby environment. Included below are the most common questions and instructions for how to disable and enable specific features

Do We Need to Stop Syncing?

No! New this year, Edsby now allows those students leaving the organization (graduating or moving) and those moving on to other schools within the organization to maintain access to Edsby for a specified number of days before being removed. 

The new Term Linger time can be changed through the EdsbyLink Configuration page. This setting also controls the number of days recently completed classes remain visible on the home screen. The new setting will apply at the next sync.

Hiding Future Classes

A common question at this time of year is whether it's possible to hide upcoming classes from students and parents while class rosters are being finalized. Your District IT Administrators can manage this so that you can hide/reveal future classes yourselves, through Student and Parent "Role documents" located in your Edsby environment.

Significant Integration Changes

Significant customer environment changes such as switching SISes, SSO or other major configuration changes over the summer will require Edsby involvement and should be planned well in advance of school start to avoid delays with back to school availability. Edsby's professional services team can provide a quote and be scheduled to work through the testing and configuration that may be required to accommodate any changes. Please ensure you submit a support ticket or contact your Customer Success Manager if you have any planned changes.

PowerSchool Integration Clients

In order to more accurately reflect addresses and phone numbers shown for parents & guardians in Edsby, integrations with PowerSchool will now be utilizing specific flags and ordering of records. These changes will be rolled out over the summer. Details of the changes and what they mean for PowerSchool data can be found here:

Groups Cleanup

End of year is a great time to review your groups usage and remove any unused groups. It's also important to review moderators for groups: remove any who are no longer active, and add new users to moderate groups that may be left without leadership. Details on archiving groups can be found here:

Archiving

Lastly, there is the archiving process, which typically happens shortly before school resumes and is used to clean up older and unnecessary files for the new school year. It is helpful if you've rolled over to the new school year and have done a sync for new school data by mid-August. This ensures Edsby runs smoothly while still providing customers with access to archived data as needed. You do not need to do anything on your side to initiate the archiving process. It is managed by Edsby.
